DATABASE REACTIVATION FOR PROPERTY MANAGERS

Your next owner
may already be
in your database.

We reach out to past owner inquiries, rental analysis requests, and former owners by SMS and email. AI handles the replies. Qualified owners land on your calendar.

Example: 500 old contacts → 5 new owners → 7.5 doors → $13,500 in first-year management revenue. Illustrative — adjust with your own numbers in the calculator.

A free review of your contact list and follow-up process. No commitment to book.

Hi Jordan, you asked us for a rental analysis a while back. Are you still considering management for your property?
Actually, yes. Managing both rentals myself has become a lot.
We can help you explore that. Are both properties still in Austin?
Yes! Could we talk this week?
Absolutely. Here's a link to choose a time with our team.

SMS DEMO · SAMPLE CONVERSATION
Hi, this is Sarah with Ridgeline Property Management, following up on the rental analysis you asked about a while back. Do you still own the property?
Yeah, still have it. Tenant's moving out next month actually.
Good timing then. Want 15 minutes with Mark this week to see what it would rent for and what we'd handle?
Sure, Friday works.

When it doesn't know, it doesn't guess.

Owners ask things only your team can answer — a past eviction, a specific fee, a maintenance dispute. The AI doesn't improvise. It acknowledges the question, flags the conversation, and hands it to your team with the full thread attached. You decide what gets said about your business.

You already paid to start these
conversations.

Your next management agreement could start with someone who already asked you for help with a rental.

Interested. Never signed.

Owners who spoke with your team but never signed a management agreement may be ready to revisit the decision.

They asked what it could rent for.

A rental analysis request gives you a specific reason to ask whether they still need help managing the property.

Their situation may have changed.

Owners who left or paused management may have another rental or be ready to hand management back to a team.

From “not now”
to “let’s talk.”

You give us a contact export or CRM access, approve the messages, and take the booked calls. We build and manage the system around that.

01

Review and segment

We review owner inquiries, rental analysis requests, and past owners. We separate owner opportunities from tenant and leasing leads, then check contact history and channel eligibility.

You: share CRM access or an export and explain who you want to sign.

02

Approve, launch, and book

We write the SMS and email sequence, configure AI replies and qualification, and connect your calendar. Interested, qualified owners get a route to book a call.

You: approve messages and qualification criteria, then take the calls.

03

Keep new inquiries moving

After launch, we follow up on new owner inquiries that go cold and periodically revisit eligible contacts who said “not now.” We refine the messages using real replies.

You: update outcomes and confirm which owners signed.

Typical setup: 2–3 weeks from kickoff. Carrier registration for your dedicated number runs in parallel and is the main variable.

A few new owners.
Recurring management revenue.

Start with the size of your database. Adjust the reply and signing assumptions, then use your average doors and monthly management fee.

One campaign. One group of new owners.

We count the owners once, then calculate 12 months of management fees from their doors. We do not assume the same old list produces new owners every month.

Your database.
Your questions.

Is my property management company a good fit?

We focus on US property managers with roughly 50–1,000 doors, a meaningful history of owner inquiries, and someone available to take booked calls. The review looks at the number and quality of past inquiries, management fees, and your capacity to onboard new owners. Tenant and leasing leads are separated from owner opportunities.

How do you handle consent for texting old contacts?

Before an SMS campaign, we review documented consent, opt-in status, and contact history with your team. We register SMS sending through the required provider process and configure immediate opt-out handling. Contacts without SMS consent are excluded from texting; email is considered only after its own eligibility and suppression review. Your company should confirm its outreach requirements with its own counsel. We do not provide legal advice or promise legal compliance.

Does this replace my business development person?

No. SMS, email, and AI handle agreed follow-up and initial questions. Your business development person takes the booked calls, explains your management service, and closes agreements. Conversations that need a person are handed to your team.

Will my database keep producing results forever?

No. Reactivation is a campaign against a finite list, not a new source of owners every month. Ongoing service follows up on eligible new inquiries and revisits selected “not now” contacts. The calculator models one group of owners and their first 12 months of fees; it does not multiply new owners by 12.

Do you guarantee signed owners?

No. Results depend on the database, offer, timing, and your team's sales process. We deliver the agreed setup, follow-up, and monthly review. AI and message changes are informed by conversations; they do not guarantee a conversion increase every month.

What happens with my data?

We agree the data scope and access permissions before import. Owner contact details and conversation history are used to operate the agreed campaigns, qualification, and booking workflows. Opt-outs stay on a suppression list. Data access, service providers, retention, export, and deletion arrangements are documented in your service agreement and Privacy Policy before launch.

What does the calculator include?

New owners = eligible contacts × reply rate × the share of replies that sign. Doors = new owners × average doors per owner. Revenue = doors × monthly management fee × 12 paid months after signing. Our cost = setup plus 12 monthly service payments, starting at launch. Revenue after our cost is not profit: your operating expenses, usage, taxes, onboarding timing, churn, and fee collection affect actual results. Fractional owners and doors are mathematical averages; the owner break-even figure rounds up.

What is still sitting
in your database?

Bring your contact count and follow-up process. We'll work out whether reactivation makes sense for your property management company.
